We are seeking an assistant to join the publishing leadership team, who will report to the editor in chief and assists the publisher. The ideal candidate will be able to efficiently and thoughtfully manage a diverse set of publishing responsibilities and adapt to different work styles and fluid reprioritization. The assistant must be exceptionally organized and proficient in Excel and PowerPoint. The candidate will also have an interest in illustrated nonfiction books in the categories in which we publish and will be creative, curious and collaborative.
Specific tasks include, but not limited to:
- Manage publisher’s calendar (coordinating with CA and NY office groups)
- Serve as point person for WebEx support/guidance/training for all conference room users
- Coordinate publisher’s travel and expense reports
- Handle all book fair appointments for publisher, editor in chief, or other senior-level attendee(s)
- Coordinate visiting NY colleagues’ and other visitors’ schedules
- Route, scan, and post signed contracts to server.
- Coordinate large (often bi-coastal) meetings
- Reception: receive guests, sign for deliveries, style lobby for author visits
- Gather, produce, and distribute materials for meetings
- Create and maintain reports
- Coordinate food for some meetings
- Perform market, talent, and idea research
- Gather materials and draft slide decks for presentations and pitches
Draft decks for meetings, shipping and filing.
- Maintain office’s permanent library
Additional requirements include:
- Excellent organizational skills
- Ability to prioritize in a high-volume environment.
- Attention to detail.
- Strong communication skills, both verbal and written.
- Strong interpersonal skills and the ability to multitask and anticipate needs successfully.
- Ability to work independently and meet deadlines.
